Schooltool

Schooltool is a web-based student management system designed specifically for NY districts. This application is your over-the-top, one-stop-shop for your district’s student data, including:

  • census
  • attendance
  • discipline
  • counseling
  • scheduling
  • grading/grade book
  • medical
  • faculty

Teachers love it, administrators love it, and NYS loves it! Teachers save time on grading and have immediate access to the latest class lists. Administrators can view and report on accurate, up-to-the minute student data. And it meets New York State reporting requirements by allowing districts to track program services, extract data warehouse information, generate reports in NYS required formats, and more. Schooltool is also BOCES compliant, making it easy to view and transfer information between BOCES and home districts for many programs!

Schooltool allows you to get the data you need, in the format you need, when you need it, within minutes! It can also be custom-exported, published, shared, and viewed on a mobile app!

Scope of Services

schooltool Basic Support

MHRIC offers three levels of support for our districts. All levels of support include; hosting the schooltool application and district databases, and performing all upgrades, hotfixes and health checks to ensure the stability of the application. Additionally, the Mid-Hudson Regional Information Center will provide daily database back-ups and disaster recovery.

The Basic Support service is designed for districts capable of running schooltool with a minimum level of support from the Mid-Hudson Regional Information Center and able to perform their own production printing and distribution for schedules, report cards, progress reports, labels, and various other reports needed by the district. Project management and planning around the schooltool application is the responsibility of the district.

BASIC SUPPORT Includes:

  • Telephone Support through the Student Services Support Center – available for district lead personnel, includes project lead, guidance, building leads, attendance, registration
  • Vendor management, advocating for the districts in the Mid-Hudson Valley
  • Perform Data Warehousing extracts and support as it pertains to the schooltool Student Management System
  • Update/Maintain locator file for Data Warehouse
  • Grade Advancement
  • Ongoing training via GoTo sessions and classes at MHRIC as scheduled
  • Bulk import of Student Pictures, if hosted at the MHRIC
  • Access to Training Materials (Knowledgebase website)
  • Access to Video clips using the MHRIC website
  • Availability to a schooltool training database for in-district training and testing
  • Assist with ongoing changes to discipline letters
  • Up to two User Group Meetings a year
  • Up to two (2) days on-site &/or remote training, must be scheduled in advance with the Student Services Support Center (SSSC)

  • SERVICES AVAILABLE TO THE DISTRICT AT AN ADDITIONAL COST

  • Printing and mailing of Report/Progress Report Mailers
  • Printing of Report/Progress Report Cards and delivered to the district*
  • Printing of Elementary Report Cards and delivered to the district*
  • On-site & remote training in excess of the two (2) days included within the schooltool service

  • *All production jobs are delivered to the district via courier or delivered through your local BOCES. Please be aware that MHRIC requires up to a three (3) day turn around time for production jobs. Please plan work accordingly.

    Plus Support service provides districts with a complete and comprehensive support package.

    PLUS SUPPORT Includes:

  • Dedicated lead schooltool specialist and back-up offering districts “that personalized touch!”
  • Telephone Support – available for district lead personnel including; project lead, HS & MS guidance, attendance, registration.
  • Vendor management, advocating for the districts in the Mid-Hudson Valley
  • Perform Data Warehousing extracts and support as it pertains to the schooltool Student Management System
  • Update/Maintain locator files for Data Warehouse
  • New Scheduling Year Setup
  • Year-End Grade Advancement
  • New school year setup review
  • Ongoing training via GoTo sessions and classes at MHRIC as scheduled
  • Bulk import Student Pictures, if hosted at MHRIC
  • Up to two User Group Meetings a year
  • Access to Training Materials (Knowledgebase website and help screens within schooltool)
  • Access to Video clips using the MHRIC website
  • Up to four (4) days on-site &/or remote training, must be scheduled in advance with a Specialist
  • Use of Customized MHRIC Reports (eg: report card/progress report/transcripts)
  • Upload of 3-8 ELA and Math testing
  • Availability to a schooltool training database
  • Creation of needed extracts, where possible/available (up to four(4) per district)
  • Ongoing changes to attendance and discipline letters
  • Ad-hoc reporting which includes use of the Actions tab, custom exports, Student Services Reporting Tool (SSRT), and creation of templates. Data must be available and easily accessible. Some reporting requirements may necessitate the need for the vendor to create a customized report which may be a chargeable item.

  • Report Cards/Progress Reports:

  • Report Cards -- Up to 3 sorts, total of 4 total sets per report card cycle
  • Special Ed Report Card – Up to 1 sort, total of 2 copies per report card cycle
  • 12th Grade Report Cards – 1 sort, 1 copy per report card cycle
  • Progress Reports – Up to 3 sorts, total of 4 sets per report cycle

  • Available Reports – per marking period

    1 sort, up to 4 copies

  • Honor Roll Report
  • Honor Roll Paragraph for newspaper
  • Failure List (failing course for marking period)
  • Failure List Final Average
  • Mark Distribution by teacher by course
  • Permanent Record Labels
  • Class Lists – 2 sets per semester/quarter

  • Other:

  • Emergency Contact Report – 2 per building, 1x per year
  • Schedules– total of three sets/copies per semester/quarter
  • Labels – 1x per week, per building
  • Transcripts – as needed, not to exceed 4 sets per school year
